How to Send Fax – Using PC, Fax Service, Faxable printer

Simple ways to send a Fax from a computer – Even after a lot of advancement in technology especially in the document sharing aspect, we might still fall into the need for faxing a document from your computer at one or another verge of life. There are different ways to fax a document from your computer. However, we are going to discuss these three simple ways of doing it.

#1. Send Fax From a Computer Using an Online Fax Service –

  • Step 1: Visit one of the eFax official websites and choose the SignUp tab at the top on the homepage.
  • Step 2: Choose your subscription and proceed to create an account.
  • Note: If you don’t plan to use the fax feature much, you could opt to get the free one month trial and proceed to sign up to temporarily avail the services.
  • Step 3: Once you are done signing up with eFax, head to the homepage and click on the Sign-in option to access your dashboard.
  • Step 4: You should now find the ‘Send Faxes’ option as you log in. Click the option to proceed to send your first fax.
  • Step 5: Enter your recipient’s fax number or select it from your contacts. Now attach your documents that you intend to fax.

#2. Send Fax From a Computer Using Fax Software –

In this method, you will be needing a software tool installed to send Fax from your computer. If you are a windows user, kudos! You already have it pre-installed. However, Linux computers have a variety of fax software available online, you need to choose one that works for you. Mac users have my deepest condolences here as it is not possible to use fax services as there is no software tool available.

Prerequisites:

  1. Of course, a software tool was installed. Windows users already have the ‘Windows Fax and Scan’ installed. Linux users need to install one.
  2. Active landline phone connection (VOIP phone or Internet Phone won’t work).
  3. A Fax Modem installed on your computer.

A fax modem is a hardware device that lets you connect to a phone line, either for a dial-up connection or for faxing abilities. You can find one online easily. The fax modem comes in two different types, an internal modem which can sit in your PCI slot or an external one which comes with a USB connectivity which can be plugged directly into one of the USB slots on your computer.

Procedure:

  • Step 1: Attach your fax modem to one of your computer ports and make sure that the device drivers are installed and healthy. If the drivers are not installed automatically, visit the device manufacturer’s website, and get it installed.
  • Step 2: Once your hardware thing is up and running, plug-in the landline cable to the port present on the Fax Modem.
  • Step 3: Now set up your phone line on your computer by entering your Dial-Up credentials. If you are not sure how to do this, there are a lot of tutorials online to help you through.
  • Step 4: Once your connection is clean, open Fax, and Scan software on your windows pc. For Linux users, open the relevant Fax program that you have installed.
  • Step 5: The software interface should be pretty much like the one with your email programs. Attach a file to be faxed, enter the name and the fax id of the recipient and click on the Send Fax button.

#3. Send Fax from a Computer Using a Connected Fax Machine or Printer –

Most of the printers and photocopiers in the market these days come with fax capability onboard. You don’t have to make use of an external modem to fulfill your faxing needs. If you own one such printer, we are here to guide you with the procedure for sending a fax right from your computer.

Procedure to send fax from your computer using a faxable printer:

  • Step 1: I assume that your printer is already set up and running. If not, it is important to set up your printer, install necessary drivers on your computer, and connect it.
  • Step 2: Connect your printer to an active Landline phone line. (VOIP phone or internet phone is not going to help).
  • Step 3: Now open the printer’s utility software on your computer. The interface is different for different manufactures. Locate the Fax option from the utility.
  • Step 4: Upon entering the software utility option, you should be able to see an interface similar to your email programs. Enter the recipient’s fax address, attach a file, and click on the send button. As simple as that!
